HOW DOES HSSA GET ACCESS TO DISCOUNTED TICKETS?
The funds provided by the Clinic for our discounted tickets and social events are given in exchange for our group’s volunteer commitment to the inpatient children of the hospital. This commitment includes: providing the monthly pediatric craft kits for approximately 50 patients, providing volunteers when needed for various parties and events, and running various charity drives throughout the year. Please remember this when notices are sent about needing help with the pediatric activities. We MUST fulfill this obligation or our funding may not be continued.
WHO IS ALLOWED TO USE AN HSSA TICKET?
Because of our funding, HSSA has a very strict, *members only* policy for ticket use. To be a member of HSSA, your spouse or significant other must be in training as either a resident or fellow at a Cleveland Clinic campus. It is important for everyone to know these events and tickets are made possible due to money subsidized by the Cleveland Clinic for our group and can ONLY be used by the HSSA member, their spouse (the resident or fellow) and their immediate children. In the event of a couple composed of two CCF trainees, both partners are eligible for tickets to attend spouses-only events. Unfortunately, other family members (grandparents, etc), nannies, friends, neighbors, or others are not permitted to use the tickets, even if a member of your immediate family cannot go at the last minute. (Please see the cancellation policy below).
Unfortunately, anyone who uses tickets for individuals outside of their immediate family will receive a warning. At the second offense, the member will no longer be able to purchase tickets for paid events. Please only use the tickets for your immediate family.
HSSA has grown to be a very large group, and we want to be able to offer discounted tickets to as many people as possible, but we can only accommodate our fellows, residents and their immediate families because of the funding we receive from the Clinic. Please do not request extra tickets for others as there is usually a wait list for each event, and the extra tickets should go directly to the next person in line. When ticketed events may be attended by the public (additional tickets purchased directly from the vendor), there may still be components exclusive to HSSA members.
Please follow the cancellation policy listed below if you are no longer able to use your tickets.
*On occasion, if an event has not sold out, we will sometimes open it up to friends and family of our members at our discretion.
ORDERING TICKETS
On the first of each month, our “Stethoscoop” is published on our website and sent via email to all of our verified members. The publication is password protected on our website ensuring that only HSSA members can purchase our discounted tickets. The publication contains each of the activities being held for the month and gives the necessary links to purchase your discounted tickets to any desired events. To complete a purchase, you simply need to register yourself and any other attendees from your immediate family and complete your payment via PayPal.
WAIT LISTS
Due to the popularity of our events, you’ll find that many of them may sell out quickly. If an event sells out, you can sign up for the wait list to be notified if any members cancel and/or tickets become available. Hey, it happens! If a member can no longer attend, they will be referred to the wait list to redirect their tickets.
CANCELLATIONS
We realize occasionally something may come up and you will be unable to use tickets you have requested and received. However, it is your responsibility to redistribute the tickets AND arrange payment transfers. Please contact the event organizer as they can help facilitate this process by providing a wait list of members that you may contact. Please call members as they appear on the wait list, in order, and have them pay you directly.
We realize occasionally something may come up and you will be unable to use tickets you have purchased and received. You can have access to the event wait list to try and find a buyer for your tickets, or for a $5 per ticket cancellation fee, the planning officer will handle the ticket exchange for you. Should the officer have success in finding someone to take your tickets, you will be refunded your original ticket amount MINUS a $5 cancellation fee per ticket. Should there be no wait list, you will incur the original transaction fee unless you can find other HSSA members to purchase your tickets. Feel free to post in our member Facebook group.
Why is there a cancellation fee? Our HSSA board is run by volunteers. Many (if not all) of us work full time jobs on top of our HSSA commitments. Now whether we hold positions as domestic engineers, accountants, bakers, or nurse administrators, we are BUSY. When cancellations occur, your transaction has to go through three sets of hands to be completed. We are hopeful that the cancellation fee will make people think twice about signing up blindly for an event that they’ve double booked and then expecting us to fix it for them. Cancellation fees will be used for funding future events.
NO SHOWS
Our officers work hard to plan their events and they revel in the joy of seeing those two words, *SOLD OUT.* When an event sells out, it makes us feel like we are on track at offering our members exactly what they want while introducing them some of the pretty amazing things Cleveland has to offer. When we show up to a SOLD OUT event and end up sitting with empty seats, our hearts sink just a bit at the thought of the families on the wait list who could’ve been there is those seats with us. We understand that life happens. Last minute sickness, car trouble… sometimes things get in the way of getting where we need to be. However, if we find that a particular member “no shows” to more than 2 SOLD OUT events in a year period, their membership will be taken into consideration by our executive board and ticket access may be limited for future events. We want to make sure that as many of our members as possible are being given access to our events and we don’t like seeing tickets go to waste.
REFUNDS
Unfortunately, we are not able to offer refunds. If you cannot use your tickets and you do not find anyone to transfer them to, you will incur the cost of the original transaction. Please consider your purchases carefully.
UPCOMING EVENTS
How do I find out what activities and events are coming up? Please check our website ccfhssa.org on the first of every month – tickets are provided on a first come, first served basis to members who RSVP on the website and complete their payment through PayPal. Please feel free to ask questions or make suggestions for events to any officer at any time. Events are organized approximately 3-6 months prior to the event date – so check the calendar on the CCF HSSA website to see what events are coming up.
